#Manage customers and opportunities in Smart CRM
Smart CRM is the team workspace for maintaining people, companies, opportunities, tasks, and notes after customer information needs structured, ongoing sales management.
#Who this is for
This guide is for sales and customer-management users who need a shared, structured record of qualified buyers, contacts, opportunities, follow-up work, and customer context.
#Open Smart CRM from TradeGo AI
- Sign in to TradeGo AI.
- Select Smart CRM in the main navigation, or open the Smart CRM entry.
- TradeGo AI checks that the account is active, registration is approved, the current team is available, and Smart CRM access is permitted.
- Smart CRM opens in a new tab and signs you into the workspace assigned to the current APP team.
Do not register another CRM account or use a local CRM invitation. TradeGo AI owns user access, and the CRM workspace follows the APP account, team, language, and role.
#Use the five core record types
| Record | Use it for |
|---|---|
| People | Individual buyers, decision-makers, and other customer contacts |
| Companies | Customer, prospect, partner, or other organization records |
| Opportunities | A potential deal, its stage, value context, owner, and progress |
| Tasks | Follow-up calls, emails, document preparation, reviews, and other work with a status or due date |
| Notes | Meeting context, research findings, decisions, and supporting information that should remain with the customer record |
Connect related records instead of repeating the same information. A contact can belong to a company, and opportunities, tasks, and notes can remain visible in the relevant customer context.
#Create and update records
- Open the relevant area from the CRM sidebar.
- Search before creating a record to avoid duplicates.
- Select Create and enter only information your team can verify.
- Link the record to the correct company, contact, opportunity, or owner where applicable.
- Save and reopen the record to check relationships and important fields.
- Update the existing record when the customer provides new information.
Use website, email domain, phone number, country, and contact identity to distinguish companies with similar names.
#Track opportunities and follow-up
Use an opportunity when a customer situation has a real potential deal that needs stages and continued ownership. Keep the opportunity stage aligned with what has actually happened, not what the team hopes will happen.
Create tasks for concrete next actions and use notes for supporting context. Review list and board views to find opportunities or tasks by stage, owner, status, or other available filters.
#Use custom fields and imports
Custom fields let the workspace capture business information that is not covered by standard fields. Create a field only when the team has a clear meaning, owner, and consistent way to populate it.
Use the CSV import flow when existing people or company data needs to enter CRM in bulk. Choose the correct entity, map each source column, review the mapping, then confirm the import. Check Import History for completed rows and errors before assuming all records were created.
#Continue qualified buyers from TradePilot
TradePilot can prepare a qualified buyer for CRM handoff. Review the company, contact, opportunity context, evidence, and next action before transfer.
After transfer, continue structured customer and opportunity management in Smart CRM. Return to TradePilot when you need the buyer-development timeline or source evidence that led to qualification.
#Protect access and customer data
CRM access is controlled by the TradeGo AI account and current team. Signing out, account suspension, registration status, plan access, and role changes can affect CRM access.
On a shared device, sign out from TradeGo AI when work is complete and close CRM tabs. Do not export or share customer records unless the recipient is authorized to receive them.
#FAQ
#Do I need a separate Smart CRM account or password?
No. Open Smart CRM from TradeGo AI. Your active account, current team, language, and permitted CRM role are passed through the secure sign-in flow.
#Which records should I create in Smart CRM?
Use people for contacts, companies for organizations, opportunities for potential deals, tasks for work that must be completed, and notes for contextual information that does not belong in another structured field.
#Why can another user perform a CRM action that I cannot?
CRM actions follow the role and access granted by TradeGo AI. Ask the team lead to check your APP role and Smart CRM access instead of creating a separate CRM user.
