#Move customer inquiries forward with TradePilot
TradePilot keeps the customer message, confirmed requirements, reply drafts, quotation preparation, and follow-up schedule in one sales case so you always know the next action.
#Who this is for
This guide is for people responsible for B2B inquiries, email or WhatsApp replies, quotation preparation, objection handling, and sales follow-up.
#Open TradePilot
Choose TradePilot in the Tool Market, or open the TradePilot workspace directly. The workspace first shows your sales-case list; select a customer to continue previous work.
#Start from a real customer message
Select “New sales case,” then choose an option under “Start from”:
- Paste customer message: For text from email, a B2B platform, or a web form.
- Upload inquiry document: Supports TXT, PDF, DOCX, and XLSX files up to 10 MB. Scanned images are not supported yet.
- Import WhatsApp chat: Upload one WhatsApp Business TXT or ZIP export and enter your name exactly as it appears in the conversation.
Keep the customer’s original wording. Leave unknown prices, delivery dates, certifications, or payment terms blank instead of guessing.
#Review and confirm customer requirements
After creating the case, use “Understand inquiry” to organize the product, specifications, quantity, destination, and customer questions. Then:
- Compare the extracted details with the original message.
- Review “Still missing” and the questions to clarify.
- Add only information stated by the customer or directly confirmed by you.
- Select “Confirm requirements” to save the current version.
Replies, quotation preparation, and follow-up use the confirmed information. When the customer sends more details, select “Add customer message” and revise the requirements.
#Prepare a reply, quotation, and follow-up
- Select “Reply customer,” choose the channel and language, and review the resulting draft.
- Select “Prepare quotation” to check the information needed for a quotation. This currently prepares handoff information; it does not invent prices or create a formal quotation.
- When a customer raises a price, delivery, or other objection, use “Analyze objection” to review possible responses.
- Select “Create follow-up” to set the time, channel, reason, and message draft.
These actions do not automatically send a customer message. Confirmed work remains in the sales case for you to copy or continue.

Open Today to see cases waiting for a reply, confirmation, quotation preparation, or scheduled follow-up. Select the main action to return to the complete sales timeline.

#Does TradePilot automatically send replies to customers?
No. A reply is saved as a draft for you to review and copy. Sending options appear only when a verified sending connection is available.
#What can I use to create a sales case?
You can paste a customer message, upload a TXT, PDF, DOCX, or XLSX inquiry file, or import one WhatsApp Business TXT or ZIP chat export.
#Where can I see the customers that need attention today?
Open TradePilot’s “Today” view and filter sales cases by needs reply, needs confirmation, ready to quote, or follow up today.
