#Create and manage quotations

Create a quotation independently or from TradePilot requirements. Confirm seller prices, charges and terms, then publish and download a fixed PDF.

#Who this is for

Sales teams confirming customer requirements, preparing quotations and continuing negotiation.

#Open and complete your quotation

  1. Open Quotation Generator from Tool Market, choose New quotation, and enter the buyer details. To use an existing TradePilot matter, prepare the quotation context there instead. Both entry points use the same quotation editor.
  2. Review each product, specification, quantity and unit. Enter seller unit prices; use the row’s Edit specification action for long details. Add or remove items as needed, up to 50 items.
  3. Review the buyer and seller summaries. Use Edit details, or explicitly select saved company details and payment terms for the seller. Choosing a company alone keeps the current seller terms.
  4. Choose the currency and validity date. When changing the currency of a priced draft, review all prices, discounts and charges and confirm the change. Amounts are not converted.
  5. State what the price includes, any fixed discount, each included charge, and costs that are excluded. Enter zero only when it is a confirmed amount; an unknown cost remains incomplete.
  6. Confirm the trade term and named place, delivery time and its starting condition, and seller payment and delivery terms. Customer requested terms are reference information and do not become seller commitments automatically.
  7. Choose English or 简体中文 for PDF labels. This does not translate the product descriptions or terms you entered.
  8. Save quotation draft retains unfinished work. Save and buyer preview shows customer-visible values; missing required inputs must be completed before Publish this version.

The summary explains the item subtotal, discount, included charges and quotation total. Internal notes and customer-request reference fields are not included in the customer PDF.

#Review and deliver a fixed version

Publishing creates a fixed PDF you can view or download. Quotations originating from TradePilot also add it to the original matter’s materials. It does not send a message. Use View quotation versions to select a version, inspect its values, open the PDF or download it. Subsequent editing does not rewrite earlier PDFs.

Long item specifications appear in a numbered specifications section so they can continue onto later pages. Match the item number to the pricing table; each page identifies the quotation, version and page number.

For quotations originating from TradePilot, return to the same matter. Select the intended fixed PDF in the existing message workflow, review the recipient, message and attachment, then use the available sending action. A generated file or prepared message is not proof of delivery.

#Continue negotiation

Record the customer’s exact reply and associate feedback with the quoted version, item and condition. A proposed change remains a proposal until you explicitly adopt it. Choose the adopted feedback when preparing a revised quotation. Confirm the new prices and terms, preview, and publish a new fixed version; the parent PDF stays unchanged.

#FAQ

#Can I start a new quotation here?

Yes. Open Quotation Generator from Tool Market and choose New quotation. Enter the buyer details, then complete the quotation. TradePilot and CRM records are not required.

#Does publishing send the quotation?

No. Publishing creates a fixed PDF to view or download. For quotations from TradePilot, it also adds the PDF to the original matter; sending remains a separate action.
