#Handle customer replies and prepare quotations

Confirm seller prices, charges and terms, publish a fixed quotation PDF, and continue negotiation in the original customer matter.

#Who this is for

Sales teams confirming customer requirements, preparing quotations and continuing negotiation.

#Record and review the reply

Open the customer matter, choose Record customer reply, and save the original message with its channel and time. Review any extracted requirements against that message. Missing quantities, specifications, destination or commercial conditions should remain open until clarified.

Prepare an editable reply when needed. Review the facts, tone and commitments before sending through the available channel. Generating a draft does not send it.

#Prepare a quotation in this matter

Choose Prepare quotation context in the active matter. Review the products and supporting requirements, then create a quotation draft or link an existing quotation. You can start the matter’s quotation without a CRM opportunity.

Quotation Generator opens the editable draft. Confirm seller prices, charges, validity and your own delivery and payment terms there. Customer requests remain reference information. Follow the quotation guide to preview and publish a fixed PDF.

#Send the intended version

Publishing adds a fixed file to this matter’s materials; it does not send it. Select the intended PDF in the matter’s existing message workflow and check the recipient, message and attachment before sending. Check the sending result rather than treating file generation as delivery.

#Handle feedback and revise

  1. Record the original customer reply.
  2. Use Record quotation feedback to select the exact published version, item or whole quotation, and discussed condition. Associate the customer wording and identify acceptance, rejection, a proposed change or a question.
  3. Review proposed changes in the pending requirements. Explicitly adopt the intended value; do not treat a proposal as an agreed price, order or payment.
  4. Choose Prepare revised quotation, select the parent version and adopted feedback, and confirm the revision.
  5. Review the new draft in Quotation Generator, then preview and publish. An adopted trade term and named place carry into the revision together; incomplete places or changed currency or units require further review.

Earlier published values and PDFs stay fixed. Feedback about one item or condition does not imply acceptance of the whole quote.
